Understanding Roles
A comprehensive explanation of the role hierarchy, what each role can access, and how roles are assigned.
Why Roles Matter
Roles control what you can see and do in JobLine.ai. They exist to protect sensitive data (like billing information or cross-team analytics) from users who do not need it, and to prevent accidental changes to critical records. Understanding your role helps you know what actions are available to you and when to escalate to someone with higher permissions.
The Role Hierarchy
JobLine.ai uses a tiered hierarchy: Platform Admin → Org Owner / Admin → Supervisor → Operator → Viewer. Each tier includes all the capabilities of the tiers below it, plus additional powers. For example, a Supervisor can do everything an Operator can, plus approve NCRs and view team-wide analytics. This layered approach ensures that responsibilities scale with authority.
Viewer
Viewers have read-only access. They can see dashboards, work order lists, handoff records, and analytics charts, but they cannot create, edit, or delete anything. This role is designed for stakeholders — plant managers, customers, or quality auditors — who need visibility into production status without the ability to change data. Viewers can still use filters, search, and export features.
Operator
Operators are the core production-floor users. They can check into stations, update work order progress (parts counts, status changes within their scope), create shift handoffs, file Non-Conformance Reports, and request material deliveries. Operators can only interact with data at their assigned station and within their team. They cannot manage users, change organization settings, or access billing information.
Supervisor
Supervisors oversee one or more teams. In addition to everything an Operator can do, Supervisors can: view all stations and operators within their team, reassign work orders between stations, approve or disposition NCRs, review and acknowledge handoffs across the team, access production analytics (throughput, utilization, downtime), and invite new members to their team. Supervisors cannot change organization-level settings or manage billing.
Org Owner / Admin
Organization Admins have full control over everything within their organization. This includes: creating and archiving teams, managing all user roles, configuring stations and work centers, setting up shift schedules, managing the part catalog, configuring ERP connections, controlling billing and subscription settings, and viewing all activity and audit logs. Every organization must have at least one Admin. The user who creates the organization is automatically assigned this role.
Platform Admin (Internal)
Platform Admins are JobLine.ai internal staff. This role is not available to customers. Platform Admins can access cross-organization diagnostics, manage system-wide settings, and support customer organizations. If you encounter a reference to this role, it is not something you need to request or configure.
How Roles Are Assigned
When you join an organization via invite code, the role selected by the inviter is applied to your account automatically. After joining, only Org Admins can change your role. Role changes take effect immediately — if your admin upgrades you from Operator to Supervisor, your next page load will show the expanded capabilities. If you believe your role is incorrect, contact your Org Admin.
